  • the results of psychological or competency tests,
  • interviews (either in person or over the telephone), and
  • feedback from clients about the performance of applicants.
In some instances we may collect or receive sensitive information about applicants from third party sources. These sources may include (but are not limited to):

  • government agencies (which we may approach to verify things such as drivers' licence details, criminal records, disability allowances, or workers compensation history), and
  • trade unions.
We will always obtain your consent before we collect sensitive information.

Collecting personal information about others

We may also receive personal information about people other than applicants. This might include people who are employed (or contracted) by our clients and our suppliers.
The types of information we collect from those people would normally be restricted to the person's position in their organisation and their contact details. We collect this information to enable us to carry on our primary business as a recruitment agency.

Collecting personal information sensitively

If we receive personal or sensitive information without a person's prior consent, we will take reasonable steps to inform the person that we have received the information. In all other respects that information will be dealt with in accordance with this policy.

Information automatically collected on our website

  • applicants (where necessary);
  • referees;
  • any persons, entities or authorities to whom we are under a legal obligation to disclose the information;

We may disclose information we receive that relates to the overall usage of our website, and which does not identify you personally, to third parties to assist us with the management of our website.

Storage and security of personal information

We store personal information in our internal database, which might be in electronic or hardcopy form (or both). These database are accessible by Boston Kennedy staff. Some of our suppliers may also have incidental access to the information on those databases to enable them to supply their services to us. This may include but is not limited to software maintenance personnel.

We retain most personal information about applicants indefinitely. This enables us to match applicants with clients over a long period of time. You may request that we return your personal information to you or destroy it. We destroy any personal information that we collect as an incidental part of our business, as soon as we consider it is no longer needed. This includes but is not limited to information about agents, or employees of clients and agents.

Accessing and updating personal information

We will take all reasonable steps to ensure that your personal information which we collect, use or disclose is accurate, complete and up-to-date. If you wish to find out what personal information we hold about you, or if you wish to update that information, please contact us at the addresses listed below. If you wish to access the personal information that we hold about you, a handling fee may be payable so that we can obtain the information you require. This Privacy Policy does not apply to Boston Kennedy's employee records.

Updating our privacy statement

We may revise or update our privacy statement occasionally by posting it on our website. The current version at the time we collect or use your personal information is the version that will apply.
